Support Services Assistant
DRC PRESENTATION.
The Danish Council for Refugees (DRC) is one of the world’s main humanitarian NGOs, which works in more than 40 countries to provide adequate assistance with an approach based on refugee rights, asylum seekers, internal, repatriated and migrants. Our vision is to help refugees, internal displaced and their reception communities to a decent life. We protect lives and human rights and empower the beneficiaries throughout the displacement of the conflict by providing refuge, food and hope in terms of work, education and integration towards a sustainable future. DRC established an operational presence in Colombia in 2011 with an approach to humanitarian action against mines (HMA) and providing support to the population affected by the conflict in the south of the country. With the beginning of the great mixed migratory flows to Colombia due to the Venezuelan crisis, DRC initiated an integrated humanitarian response in 2018 to meet the urgent needs of refugees, asylum seekers, migrants, Colombian returned and host communities in some of the most vulnerable areas of Colombia, such as the coastal areas of the Caribbean (Riohacha and Barranquilla). Urban Centers (Bogotá and Cundinamarca), and Caquetá. In 2021, DRC opened field offices on the South Pacific coast in the Department of Nariño and North Colombia in Norte de Santander.
General description of the position: Under the supervision of the leader of support services and the technical accompaniment of the support officers, the assistant of support services provides administrative and operational support with emphasis on the purchasing, logistics and inventory activities, thus strengthening the efficient operation of the Supply Unit in the Tibú Office, Norte de Santander. In the same way, it supports transversely to other support areas as need, complying with DRC policies and procedures.
Responsibilities:
Supply and purchases chain support
- Accompany the execution of the processes of acquisition of goods and services, from the application to the final delivery.
- Prepare and archive the required documentation in the purchasing processes according to the DRC guidelines.
- Ensure compliance with logistics and purchase procedures at the base.
- Verify the physical deliveries of acquired goods, validating quantity and quality against the terms of the contract.
- Ensure monitoring of pending deliveries, returns and claims with suppliers.
- Support the timely realization of payments to suppliers and verify the consistency between invoices and what was received.
- Register and keep updated the inventory of goods and assets, both in physical and in DRC Dynamics.
- Participate in physical verifications and assets of assets.
- Accompany minor direct purchasing efforts required by the operation
Logistics and operational management
- Support the execution of the annual purchasing plan and monitor the requisitions of goods and services.
- Make logistics applications for events, meetings, displacements and needs of the area.
- Support in the efforts related to lodging, transport and logistics for personnel and field activities.
General support for support services
- Provide basic support in finance, such as support of supports and documentary organization.
- Support HR administrative tasks (tests, interview agenda, etc.).
- Manage general administrative activities: scan, print, photocopy, shipping and reception of correspondence.
- Support in the organization of the physical and digital archive of the base.
- Coordinate the reserve of internal or community spaces for meetings or activities.
- Support the entry of data and processes in DRC Dynamics.
Fleet and Security Management (as need)
- Support the control of the use and consumption of vehicles.
- Follow up technical maintenance and use records.
- Support with the update of mobility reports of the field staff
Experience and Technical Competencies:
- Minimum 1 year experience in similar positions, preferably in humanitarian organizations.
- Technical or technological training in administrative, logistics, trade, or related areas.
- Advanced office of office tools is essential.
- Organizational skills, detail care and service guidance.
- Teamwork, Initiative and Effective Communication
- Preferably basic knowledge in English.
Educational level Technical or technological training in administrative, logistics, trade, or related areas.
