Purpose of the position

The Recruitment, Career Path & Pool Management Assistant operationally supports the HR department in the implementation of off-campaign recruitment, the management and animation of talent pools, as well as the monitoring of employees’ career paths.

In a logic of anticipation, operational continuity and route securityhe/she actively contributes to the monitoring of contract durations, end of mission, departure and renewal projections. In this capacity, he/she participates in updating HR monitoring tools, identifying key deadlines and alerting the relevant contacts, in order to secure assignments et to anticipate recruitment or mobility needs.

Through his/her action, he/she contributes to strengthening the clarity of professional trajectories, improving the anticipation of HR needs and supporting the continuity of operations, in a logic of professionalization and harmonization of HR practices.

Main missions

1. Support for pool recruitment campaigns and out-of-campaign recruitment

The Assistant provides operational support for recruitments carried out as part of annual campaigns by professional pools as well as for recruitment outside the campaign:

In this capacity, he/she contributes in particular to:

  • Support the publication of announcements (broadcast, update, closure)
  • Ensure the sorting of applications according to the defined criteria and the updating of applications in the dedicated tools (Odoo).
  • Carry out the telephone pre-interviews (qualification, motivation, availability)
  • Prepare shortlists and contribute to the traceability of recruitment and assignment decisions
  • Feed and update candidate pools
  • Contribute to the administrative monitoring of recruitment (status of applications, reporting)
  • Support the organization and administrative monitoring of annual recruitment campaigns by pool.
  • Monitor the progress of applications (reception, shortlisting, interviews, decisions).
  • Contribute to the preparation of candidate files and the formalization of summaries.

2. Monitoring of career paths (support)

With a view to securing career paths and operational continuity, the assistant contributes to monitoring employees, supporting HR teams, desks and managers.

As such, he/she:

  • Follow the contract durationsend of mission, renewals and departure projections
  • Updates the journey tracking tools (tables, HRIS, shared files)
  • Identify the critical deadlines and alert the parties concerned
  • Contributes to the preparation of HR decisions (renewal, mobility, repositioning)
  • Supports the formalization and traceability of decisions related to career paths.
  • Participates in the continuous improvement of HR monitoring tools and practices
  • Supports the preparation of course monitoring interviews (data, histories, supports).

3. Management and animation of pools

The Assistant contributes to the structuring, animation and promotion of job pools, supporting recruitment, career paths and mobility teams:

As such, he/she

  • Updates the pool databases (status, availability, skills, mobility, inter-mission periods)
  • Ensures the monitoring of entries, exits and movements within the pools in conjunction with career path and pool management recruitment officers.
  • Contributes to the readability and use of pools for HR teams and desks.
  • Participate in the management of pools (candidate follow-ups, monitoring of availability, updating of profiles)
  • Supports the preparation of recruitment campaigns (in conjunction with the teams concerned)
  • Produces reporting elements on the state of the pools
  • Prepares extractions and monitoring tables for the team.

4. Production and analysis of HR data

  • Produce monitoring and indicator tables (pools, campaigns, deadlines, volumes).
  • Analyze basic data in order to alert on risks (dropouts, unavailability, future tensions).
  • Contribute to the continuous improvement of management tools.

5. Contribution to the improvement of tools and processes

  • Participate in improving the use of SIRH Odoo.
  • Apply and report development needs for tools and processes.
  • Contribute to the quality and harmonization of service practices.

Expected key skills

Technical skills

  • Excellent command of Excelincluding:
    • advanced formulas (VLOOKUP/XLOOKUP, IF, SUM.IF, NB.IF, etc.),
    • pivot tables,
    • conditional formatting,
    • database management and reliability.
  • Mastery of office and collaborative tools (Google Workspace: Docs, Sheets, Drive, Gmail).
  • Comfort with HRIS tools (Odoo or equivalent).
  • Ability to produce reliable and usable monitoring tables.
  • Good understanding of recruitment processes
  • Comfort in professional telephone exchanges
  • Professional English – minimum B2 level, allowing understanding of documents and written and oral exchanges.

Profile sought

  • Training in human resources, management, social sciences or equivalent.
  • First successful experience (1 to 2 years) in a structured HR, recruitment or administrative position.
  • Strong interest in career paths and pool management
  • Experience in an NGO or international environment is an asset.

CONDITIONS

Nature of the contract : Permanent contract under Senegalese law

Date of starting position : as soon as possible

Salary : salary scale Dakar headquarters
