FLATS Assistant. BOGOTA COLOMBIA
The main objective of the FLATS Assistant is to provide comprehensive support in the Finance, Logistics, Administration, Transparency, Audit and security processes, guaranteeing the efficient and timely operation of the support area. Their work focuses especially on financial and administrative management, while continuing to attend to the operational and documentary needs of each FLATS area.
The role contributes to the correct application of internal policies and procedures, ensuring operational efficiency, regulatory compliance and transparent management of resources, while continuing to provide transversal support to the other FLATS areas.
GOALS
- You will ensure compliance with ACTED and donor procedures in all administrative, logistical, financial, and HR operations.
- Comply with aspects related to monthly finance, logistics, and HR reports
- Work with support departments to respond to needs.
- Comply with and follow financial, logistical, security and administration procedures.

- Maintain a continuous and transparent communication flow between the bases and the capital.
- Provide administrative and operational support in the management of security processes.
Main responsibilities.
Finance and Treasury.
– Support the management of cash and bank accounts, including registration of movements, documentary control and cash counts.
– Support the registration and quality of ACTED’s internal accounting, national accounting and all tax processes.
– Maintain physical and digital archive of financial documentation.
– Support bank reconciliations and movement tracking.
– Coordinate the compilation of financial support for audits and donors.
– Monitor cash needs and support funding requests.
– Guarantee compliance with internal financial procedures.
– Train and monitor partner financial processes if applicable
Responsibilities – Administrative and Legal Support
– Support document and archive management.
– Follow up on administrative contracts and basic procedures.
– Guarantee that documentation complies with internal procedures.
Responsibilities – Human Resources
– Keep personnel files updated.
– Support payroll and social security processes.
– Collaborate on HR reports and administrative monitoring.
Responsibilities – Logistics
– Support purchasing processes and logistics archive.
– Support basic transportation and accommodation reservations.
– Support communication with suppliers when requested
Responsibilities – Transparency
– Collaborate in compliance with internal policies and documentary controls for audits.
- Responsibilities – Security. Support the collection and organization of information related to the country’s security.
- Provide administrative support in updating security documents (plans, reports and formats).
- Periodically support the status of basic emergency equipment and report any news.
- Support the internal dissemination of the communications tree and security procedures.
- Support the sending of security documentation to headquarters according to instructions.
- Support the logistics of safety briefings for staff.
Carry out any other activity related to the objective of the contract, as well as all other functions that are assigned to you due to the characteristics inherent to your position and conditions.

COMMITMENT:

QUALIFICATIONS, HUMAN QUALITIES, KNOWLEDGE AND TECHNICAL SKILLS REQUIRED.
Technical skills
– Accounting and tax knowledge, treasury and financial control.

– Ability to work transversally with multiple areas.
- Experience in logistical, administrative, financial processes, etc. preferably in international cooperation organizations.
- Mastery of Excel, Word and Outlook and computer platforms.
- Basic knowledge of English is desirable
PROFESSIONAL PROFILE/REQUIREMENTS
– Technologist, final semester student and/or recent graduate of public accounting with accounting and tax knowledge, treasury and financial control.
- Minimum one (1) year of experience in accounting and administrative processes.
- Experience in logistics management with organizations in the social and humanitarian sector will be viewed favorably;
Contractual Conditions
- Type of Contract: Fixed term for four months with the possibility of renewal according to performance and project financing.
- Work Schedule: Full time (Monday to Friday)
- Workplace: Main office (Bogotá)
- Assigned Salary Range:
According to the Acted salary table, between category E1- 1 $3,131,448 COP to E1-5 $3,806,315 COP According to knowledge and experience.
